This Privacy Policy describes how Shadow Mountain V, LLC (“Shadow Mountain,” “we,” “us”) collects, uses, discloses, and protects personal information in connection with our public website and marketing activities (the “Site”). Product deployments under a customer agreement are also governed by that agreement and any BAA, DPA, or similar terms. This policy is a notice. It is not a contract.

We respond to verifiable consumer requests within forty-five (45) days, or as otherwise required by law. We may extend once by forty-five (45) days when reasonably necessary and will tell you if we do.
2. Scope
This policy covers:
- Visitors to shadowmountain.ai and related marketing pages
- People who submit demo or contact requests
- Business contacts we communicate with about our products
It does not replace a facility’s own policies or a customer’s obligations under HIPAA or other law when using our products. The Site is directed at U.S. professional users evaluating software.
3. Information we collect
3.1 Information you provide
- Demo and contact forms — first name, last name, work email, job title, organization, facility-count band, phone (optional), message content, and the Site page you submitted from
- Email and other correspondence — content needed to respond and keep business records
3.2 Information collected automatically
- Technical data — IP address, browser and device type, pages viewed, timestamps, and referring URL, as recorded in server or host logs. Loading Inter from Google Fonts also sends a request (including IP) to Google on each page
- Consent cookie — a first-party cookie named

3.3 What not to submit on this Site
Do not submit resident names, dates of birth, medical record numbers, Social Security numbers, street addresses, phone numbers of residents, clinical notes that identify a person, photos, or face sheets through marketing forms. Those forms are not a clinical system of record. If you send that information anyway, we will delete it when we reasonably identify it.
4. Notice at collection
At or before collection on the demo form, we collect the categories in Section 3.1 to respond to your request, operate the Site, keep business records, and comply with law. We do not sell personal information. We do not share personal information for cross-context behavioral advertising. Retention is described in Section 9. More detail is in this policy.
5. How we use information
- Respond to demo, sales, and support inquiries, including by email or (if you gave a number) phone
- Operate, secure, troubleshoot, and improve the Site
- Measure aggregate Site usage when you accept analytics cookies
- Comply with law, enforce our terms, and protect rights and safety

We do not sell personal information. We do not share personal information for cross-context behavioral advertising as those terms are defined under the California Consumer Privacy Act, as amended by the CPRA.
6. Where this Site is directed
The Site is directed at professional users in the United States. We do not currently target the EEA, UK, or Switzerland with this Site. If you visit from those regions, you may contact support@shadowmountain.ai. We do not operate this Site on the basis of EU Standard Contractual Clauses or an EU representative.
7. Product deployments
When an organization uses Shadow Mountain software under a paid or pilot agreement, processing of operational data is controlled by that agreement and the customer’s configuration. That agreement may include a business associate agreement or similar terms where the parties agree they apply. Questions about product data processing belong with support@shadowmountain.ai or your account representative—not this marketing Site.
The public Site does not make automated decisions that produce legal or similarly significant effects about visitors. Product scoring, if any, is performed in a customer environment under that customer’s agreement.

We do not authorize these providers to use Site personal information for their own unrelated marketing. Google Analytics on this Site is configured without Google Signals and without advertising personalization. We do not send demo-form fields to Google Analytics.

10. Security
We maintain administrative, technical, and organizational measures designed to protect personal information appropriate to the risk. No method of transmission or storage is completely secure. See our Security overview. Report suspected vulnerabilities to support@shadowmountain.ai.
11. Your choices and rights
Depending on your location, you may have rights to:
- Know and access certain personal information
- Correct inaccurate personal information
- Delete certain personal information
- Receive a portable copy of information you provided
- Opt out of sale or sharing (we do not sell or share; you may still submit a request)
- Reject or withdraw analytics cookies via Your privacy choices
- Unsubscribe from optional marketing email
Email support@shadowmountain.ai. We may need to verify your identity (for example by matching the email used on a demo request). Authorized agents may submit requests where the law allows, subject to proof of authorization and verification. You will not be discriminated against for exercising rights under applicable privacy law.
If we deny a request, you may appeal by replying to our decision email with “Appeal” in the subject line. We will respond in writing.

We have not sold personal information or shared it for cross-context behavioral advertising in the preceding twelve (12) months. We do not use or disclose sensitive personal information for purposes that require a right to limit under CPRA, other than as permitted by law. We do not have actual knowledge that we sell or share personal information of consumers under 16.

13. California Shine the Light
California residents may request information about disclosures of personal information to third parties for those parties’ direct marketing. We do not disclose personal information to third parties for their own direct marketing. Email support@shadowmountain.ai.
14. Nevada
Nevada residents may submit a do-not-sell request to support@shadowmountain.ai. We do not sell covered information as defined by Nevada law.
15. Washington and consumer health data
This Site is a B2B marketing site. Do not submit resident health information through it. We do not sell consumer health data. Product processing of clinical or operational attributes, if any, is handled under a customer agreement—not this policy.
16. Children
The Site is directed at business and professional users. We do not knowingly collect personal information from children under 16 (or under 13 where that standard applies). If you believe a child provided information, contact us and we will delete it.
17. Changes
We may update this policy. The effective date at the top will change when we do. Material changes may be highlighted on the Site. The updated policy describes our practices from the effective date forward.
